-AI Systems

AI implementation that delivers.

Not just demonstrates.

Most AI projects end in a slide deck and a Slack channel that goes quiet after three weeks. We build the working systems that survive past month one — the strategy, the automation, the agents, the integrations — and we stay with you while they start producing.

Where most AI work goes wrong

The market is loud right now. Every consultant has a deck. Every agency has an AI offering. Every founder has been told they need to “do something with AI” before the end of the quarter.

And almost none of it gets built. Or worse — it gets half-built, half-deployed, and quietly abandoned six weeks later when nobody remembers why they started.

We are not interested in that work. We are interested in the kind that holds up — the workflow that runs every morning without being touched, the agent that takes the meeting prep off a senior person’s plate, the integration that finally connects the two tools your team has been switching between for eighteen months. The unglamorous, working kind.

The Distinction

What gets sold as AI services.
And what we actually do.

What Brixen Systems actually builds

How We Work

Four phases. One connected system.

Every AI Systems engagement runs through the same four phases. They connect rather than queue — the assessment shapes the strategy, the strategy informs the build, the build sets up the operation. Nothing happens in isolation, and nothing happens out of order.

PHASE 01PHASE 02PHASE 03PHASE 04

Phase 01

Assess

We sit with your team, map the existing workflows, and surface the points where AI actually has leverage. Not the loudest opportunities. The honest ones.

Phase 02

Strategy

From the assessment, we draft a prioritised plan. What to build first. What to leave alone. What needs to change in your existing stack before any of it can work.

Phase 03

Build

We build the workflows, agents, and integrations. In your environment, with your tools, ready to deploy. Documentation written as we go, not bolted on at the end.

Phase 04

Operate

The build phase ends. The operation phase begins. We stay involved while the systems settle in, your team learns them, and the early issues get caught before they spread.

What We Deliver

Five things, properly done.

Not a service menu. These are the five categories of work that sit inside an AI Systems engagement. Most clients use three or four of them depending on what they need.

01

AI Strategy and Opportunity Assessment

Before anything gets built, the strategy gets written. We work through your operations, find the places where AI does real work, and rank them by impact and feasibility. The output is a document your leadership team can read in one sitting — not a 60-slide vendor presentation. It tells you what to build, what to wait on, and what to ignore entirely.

02

Workflow Automation Design and Build

The repetitive work that takes hours each week — the lead enrichment, the report generation, the meeting prep, the data syncing — gets designed into automated workflows. Not generic “if-this-then-that” recipes. Specific workflows built around your tools, your data, your team’s actual process. They run when you need them to and stay quiet when you do not.

03

AI Agent Development

Agents are AI systems built to handle a specific job that a person used to do. Sometimes that means drafting first-pass responses to inbound enquiries. Sometimes it means running a recurring research task across multiple sources. Sometimes it means sitting inside a Slack channel and answering team questions about your own documentation. We build the agent, integrate it, and make sure your team trusts the output before we step back.

04

Process Systemisation and Documentation

You cannot automate a process that has never been written down. Half of every AI engagement starts with the unglamorous work of mapping what your team actually does — who owns what, where the handoffs happen, where things slip. Once the process is on paper, the parts that should be automated become obvious. The parts that should stay manual also become obvious, which matters just as much.

05

Integration with Existing Tech Stack

AI systems do not work in isolation. They connect into the CRM, the email platform, the project tool, the spreadsheet, the database. We build the connections that make the AI part of your operation rather than a separate thing your team has to remember to use. Where APIs exist, we use them. Where they do not, we build the bridge.

Common Questions

Questions worth asking before you start.

How is this different from hiring an AI consultancy?

Most AI consultancies sell strategy and leave the build to someone else. Most AI agencies sell builds without understanding the strategy. We do both, in sequence, in the same engagement — because separating them is where most projects go wrong. The team that wrote the strategy is the team that builds it.

Roughly between two and thirty people, generating real revenue, with operational processes worth automating. Smaller and the engagement is heavier than the business needs. Larger and you are usually better served by an internal hire or a much bigger consultancy. The sweet spot is the founder-led business where a small set of well-built systems removes hours of weekly work for the senior team.

Minimum four months. The first month covers setup, assessment, and strategy. Months two to four are build and integration. Most clients continue into an ongoing operation phase after the initial term because the systems need a few months of real-world use before they settle. Faster than that and the work is rushed. Slower and we lose momentum.

No. In fact, businesses that arrive with a fully formed AI strategy usually need to rework it before any building starts — because the strategy was written without understanding what is actually possible in the real environment. The assessment phase exists to either build the strategy from scratch or stress-test an existing one against reality.

Every engagement includes a privacy and security review as part of the assessment phase. We work with your existing security policies and respect the data residency and compliance requirements of your business. Where sensitive data is involved, we recommend on-premise or private deployment patterns over public APIs. The right pattern depends on the use case, and we explain the tradeoffs honestly.

Phase four is the operate phase, and it usually runs for several months past the initial build. We stay involved as your team learns the systems, catches the early issues, and adjusts the workflows based on what real usage reveals. After that, ongoing support is available on a separate retainer if the systems need active management — though most clients reach a point where the systems run without us.
